Halcyon Edu Services (Pty) Ltd (registration number 2020/209366/07), referred to here as "Halcyon", "we", "us" or "our", is the responsible party for the personal information described in this Privacy Policy under the Protection of Personal Information Act, 2013 ("POPIA").
1. Who We Are
Halcyon provides ABA support, intervention programmes, and specialised instruction support for children, young people, adults, and families in Johannesburg and Pretoria, South Africa.

2. What This Policy Covers
This policy explains how we handle personal information collected through our website and enquiry form.
It does not cover the more detailed information collected later from families who proceed to an intake or service stage. That information is handled through a separate, consented intake process with its own privacy notice and consent.

Information you give us through the enquiry form:

- Phone number
- The child, young person, or adult's age range
- The service or programme you are interested in
- A short message
- Your consent confirmation
Information collected automatically: limited technical information needed to serve the website securely, such as your device's IP address, handled by our hosting provider. We do not use analytics or advertising tracking. See the Cookies section below.
To protect privacy, please keep your first message brief. You do not need to send diagnoses, ID numbers, school or medical reports, or detailed medical, developmental, or educational information through this form.
4. Why We Process Your Information, and Our Lawful Basis
We process the information above to respond to and manage your enquiry, contact you about your enquiry and possible next steps, keep accurate records of enquiries, and maintain and improve our website.
We rely on your consent, given through the form, and on our legitimate operational interest in responding to and managing enquiries. You can withdraw your consent at any time by contacting us.
5. Children's and Special Personal Information
Most detailed information about a child, young person, or adult receiving support—including any developmental, behavioural, educational, disability-related, or health information—may be treated as special personal information under POPIA. Children's information receives the strongest protection.
For this reason, the enquiry form is not intended for detailed clinical, medical, school, or diagnostic information. We collect detailed information only at a later stage, with the appropriate consent from the person, parent, guardian, or competent person, through a separate intake process. Detailed records are stored securely, with access limited to the people who need it to support the programme.
6. How We Store and Protect Your Information
Enquiry information may be held in our business email, our website form records, and restricted internal systems used to manage enquiries. We apply reasonable technical and organisational measures to protect personal information, and we limit access to those who need it for the purposes described above.
7. Service Providers
We use trusted service providers to operate our website and enquiry workflow. These providers process information on our behalf and only as needed to provide their service to us. They include Cloudflare Pages for website hosting, Web3Forms for processing enquiry-form submissions, and Google Workspace for business email.
These providers may store or process information outside South Africa. Where this applies, we take reasonable steps to use providers that offer appropriate privacy and security safeguards, consistent with POPIA's requirements for the transfer of personal information across borders.
8. How Long We Keep Your Information
We keep enquiry information only for as long as reasonably necessary to respond to and manage your enquiry.
- If an enquiry does not proceed, we aim to delete or archive the enquiry record within 6 months, unless a longer period is required or permitted by law.
- If you become an active family or service recipient, relevant information becomes part of your service record and is kept in line with our records-retention practices for that purpose.
9. Your Rights Under POPIA
Subject to applicable law, you may request access to the personal information we hold about you, request correction of inaccurate or incomplete information, request deletion of information where appropriate, object to certain processing, and withdraw any consent you have given.

10. Cookies
Our website uses only essential cookies required for the site to function and to be served securely. We do not currently use analytics, advertising, or remarketing cookies, and we do not run tracking pixels.

11. Direct Marketing
We do not add enquiry contacts to marketing lists. We will only send you marketing or updates if you separately opt in, and you can unsubscribe at any time.
